This Privacy Policy outlines Fit & Food " we ", " our " or " the Company ") practices with respect to information collected from users who access our website at www.fitandfoodpt.co.uk (" Site ") or otherwise share personal information with us (collectively: " Users ").

We endeavour to collect and use your personal information only with your knowledge and consent and typically when you use our services, make customer enquiries, register for information or other services, request information, submit a job application or when you respond to communications from us.

The type of personal information we may collect could include, for example, your name and postal address, date of birth, telephone number, email address, and credit/debit card information.

If you choose to provide us with personal information it will be used in support of the intended purposes stated at the time at which it was collected, and subject to any preferences indicated by you.

When you arrive at your first session with us, or via our online system bsport in advance, we may ask you for information relating to your health and medical history.

    How do we receive information about you?

    We receive your Personal Information from various sources:
    • When you voluntarily provide us with your personal details in order to register on our Site;
    • When you use or access our Site in connection with your use of our services;
    • From third-party providers, services and public registers (for example, traffic analytics vendors).
    NON-PERSONAL IDENTIFYING INFORMATION
     

    We may also collect non-personally identifying information about your visit to our website based on your browsing activities. This information may include the pages you browse and the services viewed for example. This helps us to better manage and develop our site, to provide you with a more enjoyable, customised service and experience in the future, and to help us develop and deliver better services tailored to your individual interests and needs.

    From time to time, if you consented accordingly we may also store and use your information to contact you for market research and marketing purposes. We may contact you by email, phone or mail.

    HOW DO WE USE YOUR INFORMATION?

    We use the information you send to us to enable us to make a booking for you at the studio and a way to communicate with you about the studio or desired service.  The information you provide as a client or a potential client enables us to service your purchases and make bookings. Any personal health or medical information you have provided is used to ensure that your needs are met in the studio and the service we provide you is appropriate and safe for your body. Unless you have informed us that you do not wish to receive further information about our products or services and studio specific information such as seasonal openings times or new instructors, we will continue to send you direct mail.
    We may also contact you with information about new developments, products, services and special offers by post, telephone and automated means such as email (subject to any preferences expressed by you).

    If you have consented to receive details of services and updates you can contact us at any time to have your details removed from our list, to update your information or to otherwise tell us how you would like to receive information about our and/or third party products and services.

    WHEN DO WE SHARE INFORMATION?

    We do not sell your personal information to others. We share your information with the relevant Self-Employed Personal Trainer or Therapist in the interest of them contacting you regarding your booking, regarding any health questions and to maintain your safety and wellbeing. 

    We share your details with our software service provider, bsport who process card payments and bookings for us. We also share your details with our accountancy software, SumUp, which enables us to create invoices for you and track payments against our bank. Your personally identifiable information is kept secure.

    Only authorized employees, and contractors, e.g. instructors (who have agreed to keep information secure and confidential) have access to this information. All emails and newsletters from our sites allow you to opt out of further mailings. 

    Fit & Food Ltd may also be obliged to disclose your personal information to meet any legal or regulatory requirements (for example to comply with a court order) or obligations in accordance with applicable law.

    ACCESS TO YOUR INFORMATION

    You can contact us at any time to obtain details of the personal information we may hold about you.

    Please tell us your name and address. We would also be grateful if could provide brief details of what information you want a copy of (this helps us to more readily locate your data).

    We will take all reasonable steps to confirm your identity before providing you with details of any personal information we may hold about you.

    RETENTION

    We will retain your personal information for as long as necessary to provide our services, and as necessary to comply with our legal obligations, resolve disputes and enforce our policies. Retention periods will be determined taking into account the type of information that is collected and the purpose for which it is collected, bearing in mind the requirements applicable to the situation and the need to destroy outdated, unused information at the earliest reasonable opportunity. Under applicable regulations, we will keep records containing client personal data, account opening documents, communications and anything else as required by applicable laws and regulations. 

    We may rectify, replenish or remove incomplete or inaccurate information, at any time and at our own discretion.

Google Analytics collects information such as how often users access the Site, which pages they visit, when they do so, etc. We use the information we obtain from Google Analytics only to improve our Site and services. Google Analytics collects the IP address assigned to you on the date you visit sites, rather than your name or other identifying information. We do not combine the information collected through the use of Google Analytics with personally identifiable information. Google’s ability to use and share information collected by Google Analytics about your visits to this Site is restricted by the Google Analytics Terms of Use and the Google Privacy Policy.

    Transfer of data outside the EEA 

    Please note that some data recipients may be located outside the EEA. In such cases we will transfer your data only to such countries as approved by the European Commission as providing adequate level of data protection, or enter into legal agreements ensuring an adequate level of data protection.

    We may share information in the event of a corporate transaction (e.g. sale of a substantial part of our business, merger, consolidation or asset sale). In the event of the above, the transferee or acquiring company will assume the rights and obligations as described in this Privacy Policy.

    Minors

    We understand the importance of protecting children’s privacy, especially in an online environment. The Site is not designed for or directed at children. Under no circumstances shall we allow the use of our services by minors without prior consent or authorisation by a parent or legal guardian. We do not knowingly collect Personal Information from minors. If a parent or guardian becomes aware that his or her child has provided us with Personal Information without their consent, he or she should contact us at info@fitandfoodpt.co.uk.

    Updates or amendments to this Privacy Policy

    We reserve the right to periodically amend or revise the Privacy Policy; material changes will be effective immediately upon the display of the revised Privacy policy. The last revision will be reflected in the "Last modified" section. Your continued use of the Platform, following the notification of such amendments on our website, constitutes your acknowledgment and consent of such amendments to the Privacy Policy and your agreement to be bound by the terms of such amendments.

    DISCLAIMERS

    Clients acknowledge that they have decided to voluntarily participate in a fitness or recovery programme which will be designed and administered by Fit & Food Ltd Instructors, based upon what they, in their professional judgment feel is appropriate.

    Clients further represent that there is no medical or physical reason that would prevent them from participation in this program of instruction or from using any of the equipment or facilities. If anything changes with regard to this clients will seek medical opinion before continuing with the program.

    Clients have been advised and realise that participation in fitness training presents some unavoidable risk of injury, especially to people who have pre-existing injuries, illness or medical disabilities and take full responsibility for any injuries that may occur.

    They recognise that many changes may occur as a result of gym exercise including but not limited to, possible short term aggravation of some symptoms, feelings of tiredness, lightheadedness, increased energy, mood changes etc.

    Clients also understand that they should stop exercising immediately if they detect pain, dizziness or discomfort of any sort during the course of the exercise program.

    Finally they take full responsibility for their personal belongings in the studio.

    Information published on this web site is provided for the use of its visitors and you are advised that, although care has been taken to ensure technical and factual accuracy, some errors may occur.

    CANCELLATION POLICY

    • Payment for all sessions/treatments/classes must be paid for prior to the scheduled class time to ensure your spot. 

    • Cancellations within 24 hours will not be refunded. 

    • Cancellations prior to 24 hours will receive a credit for the same product type to be rebooked at a later date.

    • All blocks are non refundable. Please refer to the specific validity terms detailed on our bsport page for each block type.
